Illustrative example. This is not a real business. It shows how a business like this could use AI, so you can picture it for your own.
How a letting agency writes the rules before the team starts using AI
A letting agency found staff were already pasting tenant details into AI tools. Writing a policy was less about banning things than deciding what was obviously fine.

Picture a letting agency with eight staff. Nobody has agreed anything about AI, which means everybody has decided for themselves.
One person drafts viewing feedback with it, which is sensible. Another has been pasting whole tenancy applications in to summarise them, which includes names, employment details and references. A third will not touch it and thinks the others are being reckless.
The useful framing is not "should we allow AI". It is already in use. It is that three people are making a data protection decision on their own each week, with no rule to point at, and the quiet one who is worried has nowhere to raise it.
